The Front of House Host serves as the first point of contact for visitors, artists and clients, creating a welcoming environment and ensuring smooth daily operations withing the gallery. This role combines administrative support with customer service, requiring professionalism, strong communication skills, and an interest in art and cultural events.

Duties:
Front Desk & Visitor Experience:
- Greet visitors warmly and provide information about current exhibitions, artists and gallery programs.
- Manage visitor logs, guestbooks, and maintain overall front-of-house organization.
- Answer phone calls, emails and general inquiries in a timely and professional manner.
- Offer guided introductions or brief tours when needed.
Administrative Support:
- Schedule appointments, assist in managing event calendars and coordination of meetings when required.
- Assist with correspondence, filing, data entry and maintaining a basic inventory of office, gallery and hospitality supplies as required.
- Assist in receiving orders from suppliers, checking the order with the invoice, informing the gallery manager and assisting in re-ordering supplies if required.
- Liaising with the Gallery manager and assisting on specified tasks as required.
Gallery Operations:
- Ensuring the lobby and reception areas are clean, presentable and stocked with promotional material.
- Assist with event preparation, such as exhibition openings, receptions, and artist talks.
- Maintain knowledge of current and upcoming exhibitions to assist staff and visitors and providing basic information about the artwork.
- Record visitor’s interest.
- Schedule appointments for interested buyers with the Gallery Manager.
- Assist with the preparation of invoices, if required
Customer Services and Sales Support:
- Engage with visitors to promote exhibitions, gallery merchandise etc.
- Coordinate with the gallery team to ensure exceptional guest experience.
Meeting & Client Hospitality Support:
- Assist in hosting meetings held on the gallery premises, ensuring a warm and professional client experience.
- Assist in preparation of meeting spaces, including arranging seating, setting up materials, and ensuring the environment is clean and welcoming.
- Serving clients throughout the meeting by offering water, coffee, and refreshments as required.
- Monitor and replenish beverages discreetly to maintain a high standard of hospitality.
- Provide any additional assistance needed during meetings to ensure smooth operations and a positive visitor experience.
Qualifications:
- Candidates with previous experience in reception duties, customer service, or hospitality are given preference but training will be provided.
- Strong communication skills
- Comfortable using phones, emails and standard office software.
- Professional appearance and demeanor.
- Interest or background in art, museums, or cultural institutions is highly desirable.
- Ability to multitask and remain calm in a fast-paced environment
